Who we are
Route Star is a product of Route Star Ltd, a company registered in England and Wales. We are developing an AI-native software platform for UK outdoor and home service businesses. We are registered with the Information Commissioner's Office (ICO) under registration number ZC184599.
When this policy refers to "Route Star", "we", "us", or "our", it means Route Star Ltd. If you have any questions about this policy or how we handle your data, please contact us at privacy@routestar.co.uk.
The different ways we handle data
We handle personal data in three distinct ways, and different rules apply to each:
- Website visitors and waitlist members — data you give us through this website. We are the data controller for this data.
- Businesses using the Route Star platform — the customer and operational data our business customers manage in our software. Each business is the data controller for its own data; we process it on their behalf.
- Staff of businesses using the Route Star mobile app — data collected by our mobile app when technicians and staff use it for their work. The employing business is the data controller; we process the data on their behalf.
Each is explained below.
Website visitors and the waitlist
The only personal data we collect through this website is via our waitlist sign-up form. When you join our waitlist, we collect:
- Your name
- Your email address
We collect this information solely to notify you when Route Star launches and to send you relevant updates about the product. We will not use your details for any other purpose without your explicit consent.
We process this data on the basis of your consent. You can withdraw your consent at any time by emailing privacy@routestar.co.uk and we will remove your details promptly. Your waitlist data is handled by our form provider, Formspree, acting as a data processor on our behalf. We do not sell, rent, or share your personal data with any third party for marketing purposes.
We will hold your waitlist data until Route Star launches, at which point we will contact you with launch information. If you have not opted in to ongoing communications, we will not retain your data beyond that initial contact. You can ask us to delete your data at any time by emailing us.
Businesses using the Route Star platform
Businesses that use the Route Star platform store and manage their own customer and operational data within our software. For that data, the business is the data controller and Route Star Ltd is a data processor acting on the business's instructions under a data processing agreement.
If you are a customer of a business that uses Route Star and you have questions about how your data is handled, please contact that business directly, as they control your data. We support our business customers in meeting their data protection obligations.
Platform data is stored on secure servers located in the UK and EU. We use carefully selected sub-processors to deliver the service, including infrastructure, payment, and communication providers, each bound by data processing terms.
Staff data and the Route Star mobile app
The Route Star mobile app is a work tool provided to the staff of businesses that use our platform, typically on company devices. When staff use the app, it collects data about them in the course of their work. The employing business is the data controller for its staff data and decides how it is used; Route Star Ltd processes it on the business's behalf.
What the app collects
- Account details — name, work email address and role
- Location during working hours — the device's location while the staff member is signed in and working
- Work photos — photos taken in the app as part of the job, attached to the relevant customer record
- Access logs — a record of which customer records a staff member views, and when
- Technical data — device type, app version and diagnostic information
Location data and why it is collected
Location is collected during working hours for operational reasons: so office teams can coordinate the working day and answer customer queries about arrival times, so attendance at jobs can be verified, for example if a customer raises a query or dispute about a visit, and to support employers' duty of care towards lone workers.
The app does not record audio, does not monitor speed for enforcement purposes, and does not carry out behavioural scoring. The lawful basis for this processing is the legitimate interests of the employing business in running its operations, serving its customers and meeting its duty of care, balanced against the rights of staff. Staff are informed of the processing through a privacy notice displayed in the app.
Retention of app data
- Stored location history is retained for 24 months and then deleted
- Work photos are retained as part of the customer record, in line with the employing business's retention policy
- Access logs are retained as security records
Staff rights
Staff members have rights over their personal data under UK GDPR, including the rights of access and correction. Because the employing business is the data controller, requests should be made to the employer in the first instance. Route Star Ltd supports employers in responding to any request. Staff can also contact us about the app itself at privacy@routestar.co.uk.
How we store and protect data
All platform and app data is stored on secure servers located in the UK and EU. We apply appropriate technical and organisational measures to protect it, including encryption in transit and at rest, role-based access controls, and audit logging of access to personal data.
Your rights
Under UK GDPR, you have the following rights in relation to your personal data:
- The right to access the data held about you
- The right to have inaccurate data corrected
- The right to have your data deleted
- The right to object to or restrict processing in certain circumstances
- The right to withdraw consent at any time, where processing is based on consent
- The right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been handled incorrectly
If we are the controller of your data (for example, waitlist data), contact us at privacy@routestar.co.uk and we will respond within 30 days. If a business using Route Star is the controller of your data (for example, you are their customer or a member of their staff), contact that business in the first instance.
Cookies
This website does not currently use cookies or any tracking technologies. We do not use analytics, advertising trackers, or any third-party scripts beyond those required to display the page (Google Fonts for typography, loaded over HTTPS).
Changes to this policy
As Route Star develops, this policy will be updated to reflect how we handle data within the platform. We will publish any material changes on this page before they take effect.
